Documents
Attach contracts, bank statements, registers and notes to a company, so the assistant can read them beside the books.
A company's Documents page (Companies → the company → Documents) keeps the papers that explain its books: loan agreements, bank statements, asset registers, notes of a call with the accountant, a reconciliation workbook. Admins and editors add and read them; viewers do not see them.
What a document is for
A document is evidence. The assistant reads it beside the ledger — to understand what an account holds, who a counterparty is or what a loan's terms are — and cites it. A document never changes a figure: an amount it shows reaches the reports only when someone posts an adjustment journal for it.
Adding documents
Drop one or more files, choose the kind (contract, bank statement, register, call notes, correspondence, workbook, other) and, if you like, a title (one file only), the document's date, its counterparties and the account codes it concerns, separated by commas. Up to 50 MB per file and 500 MB per company. PDF, Excel and text files are read: their text is shown on the document's page. A scanned PDF without a text layer, a Word file or an image is kept but not read. The same file uploaded twice is stored once.
Reading and deleting
The document's page shows its details and the text read from it. An admin can Delete a document: it disappears at once and its file is removed for good 30 days later. All the group's documents lists every company's documents together.
