A report is only as good as the data behind it. This page puts the set-up steps in the order that works and says, for each, how you know it is done. Each step has its own article with the details.

Before you start

You need:

  • a signed-in admin account of your group with two-factor sign-in set up (see Signing in and security);
  • the exports of your accounting system — or your accountant, whom you can invite (see Setting up your data);
  • for each company: its IČO and its fiscal year.

1. Finish the onboarding

The admin completes the five onboarding steps — Companies, Industry, Controller details, Team and Terms. Uploads open only after the terms and the data processing agreement are accepted. See Onboarding your group.

Done when the banner about unfinished onboarding is gone and the Your data steps are offered.

2. Bring in every year you want to compare

Upload, for each company, the accounting journal of each fiscal year you want in the reports, and the lists (chart of accounts, cost centres, activities, contracts). Start with the oldest year: the balance sheet rolls forward from the first fiscal year in the group's data. See Uploading files.

Done when every file shows as applied on Imports, without a held journal waiting for Confirm or Discard (see Imports).

3. Compare the trial balance with your accounting system

Open the company on Companies. Its page shows the Trial balance of the latest fiscal year imported. Compare a few accounts — bank, receivables, payables, revenue — with the same report in POHODA or Money S3 for the same date.

Done when the balances agree. If they do not, check that the right year was exported in full (no filter in the journal view) and look at the import's messages.

4. Map every account that carries an amount

Every local account must point to a line of the group's chart of accounts. Most accounts take the template's default from their standard Czech number; you confirm those and map the rest on Account mapping, or let the mapping assistant propose them. See Account mapping and coverage.

Done when the coverage badge is green and Unmapped is empty for the years you report on. A report with unmapped amounts says so in its notes (Unmapped local accounts carry …).

5. Open the P&L and the balance sheet

Go to Reports, choose the company and a closed fiscal year, and read the P&L and the balance sheet. Then:

  • check that the balance sheet balances — if it does not, the report says so in its notes;
  • open Notes below the table and read every notice;
  • click a figure you know to see the postings behind it (see Drill-down).

Done when the notes show no unmapped amounts, no balance-sheet difference and no missing months for the period, and a few figures you know trace back to the right postings. See Financial statements.

6. Lock the months you have reported

When a month's figures are final, an admin locks it. A locked month keeps its figures even if a later import changes the books; a difference is shown and explained instead of silently changing a report you already sent. See Period locks.

If something does not add up

The most common causes and their fixes are in Common problems. If a figure still looks wrong, write to support from the ? menu with the company, the report and the period — never send passwords or codes.
